Tender Management / Back Office Assistant

Your function

As a Back Office Assistant, you will be supporting a Business Development Team in preparation of competitive, top quality proposals. You will report to the Head of Business Development


  • Identify:

Proactive monitoring of public procurement opportunities related to the company business

Developing and maintaining analytics from tender monitoring (tender feedback analysis, competitors ) 

  • Prepare a tender response:

Review tender documentation and understand the requirements

Clarification of tender conditions

Development of necessary templates, admin documents as per tender request

Identification and preparation of CVs and project references in a required format

Ensuring compliance with tender requirements and EGI processes

Coordination with a proposal team to ensure timely and high-quality submission of a tender response

Final quality review of a tender response for formatting, completeness, and compliance

  • Develop & Improve:

Contribute to continuous improvement of internal tender processes and databases

Management of databases, participation in creation of business development material (templates)

Timely request/update of key company documents required for tender response

Management of Market Intelligence tool

Maintain a list of strategic partners and follow-up on the key documents (MoUs)

Your profile

  • 3-8 years of experience preferably in similar positions
  • Experience leading or supporting preparation of tender response for international donors (World Bank, EBRD, USAID, European Commission and etc) is a must
  • Strong time management and organization skills (prioritize, plan, multi-task, assign, follow)
  • Ability to coordinate several tasks at the same time
  • Able to work under pressure and tight deadlines
  • Result-driven mindset, meticulous attention to detail.
  • Outstanding oral, written, interpersonal and communication skills across diverse cultures and different organizational levels
  • Bachelor’s in any Business, Communication, Administration or any other field related to the position 
  • Proficient in MS Office tools (Word, PowerPoint, Excel, Teams), willingness to learn new tools (CRM, procurement tools, Market Intelligence platform and etc)
  • Fluency in written and spoken English required; knowledge of French is a plus.
